UBSA1.98 : Access UBS (Accounting): How to create new entry for Creditor Invoice for Payment

Solution

To create new entry for Creditor Invoice for Payment:
  1. Go to Transactions, Payment
  2. The top section of the Payment transaction listing screen will show all available bank balances. These bank balances are current balances from GL accounts that are tagged with Special Account BKPV
  3. Click on the Show Listing button to list out the transactions entered within the period range set for the payment listing.
  4. Click on the Add button to input a new entry for the payment. You will be prompted with a dialog box to select the Payment type:
    1. Click to select Creditor Invoice type.
    2. Click OK button to confirm selection and proceed with the creditor Payment entry Payment Type.
  5. Input details, section by section, as explained below:
    1. Header section
      1. Click on  Search icon at the Batch No field to display the list of batches.
      2. Select the required batch to store the transaction.
    2. Body section
      1. The body section contains 2 sub-sections -the Credit section and the Debit section.
      2. As this is a Payment entry on payment issued to creditor, the double entries would be crediting bank account and debiting the creditor account.
    3. The Credit section
      1. This section is for banking information.
    4. The Debit section
    5. Footer section
      1. The footer section will show the list of bills selected for knock-off in this payment entry. User has the following options:
        1. To skip the knock-off process during the payment entry if they do not have the details.
        2. do partial knock off against the payment amount.
        3. reverse and redo the knock-off process whenever required. The reverse process will set the bills back to outstanding status and reappear in the aging report.
        4. During the knock-off process, the amount of the selected bills will be summed and shown in the Total Knock Off field, while the payment amount will be reduced accordingly and shown in the Balance field. When the value in the Balance field reaches 0.00, it means the whole payment amount has been fully knocked off and user cannot proceed further
